MyKad, Kiosk, and Saturday Walk-ins in Malaysian Clinics

How Saturday walk-ins should work in a Malaysian clinic: MyKad Scan when a Device Agent reader is connected, always-available manual NRIC search, and lobby kiosk check-in.

Desk Clinic Team

Desk Clinic product team, Kuala Lumpur — clinic OS guidance for Malaysian private GP, dental, and outpatient clinics. We describe workflows that exist in the product today.

Saturday morning at a Malaysian GP or dental clinic is mostly arrivals, not documentation theory. Patients forget appointment letters. Families walk in with a MyKad. The lobby needs a way to join the queue without three staff typing the same NRIC.

This note is the arrival path only. Pair it with the demo one visit script for chart and bill.

Two desks, one patient record

Walk-in registration (staff) lives with Queue. Staff search the patient, or optionally tap Scan card when a Device Agent reader is connected. Scan extracts MyKad demographics, then lookup or create, then the same queue path as a typed walk-in. The agent does not create tickets by itself, does not skip confirmation, and does not replace the clinic OS.

Kiosk (patient) is a public check-in page for the organisation. Patients identify with:

  • National ID (NRIC / MyKad number in Malaysia)
  • Passport
  • Phone
  • Name + date of birth

The kiosk finds a booked appointment or continues as a walk-in, then puts them on the clinic queue. It is not an online booking site and not a second patient database.

Manual search must work when the reader is unplugged. Hardware is optional; the clinic still opens.

Saturday runbook

  1. Before doors open — Confirm today’s roster and appointment list in clinic timezone. Open the queue board.
  2. Booked patients — Prefer check in the appointment so you do not create a duplicate walk-in on top of a booking.
  3. True walk-ins — Search by NRIC. If Scan card is available and the reader shows ready, scan; staff still confirm the match before the ticket is created.
  4. Lobby kiosk — If you enabled kiosk access, put the tablet on the stand. Patients who can type an NRIC should reach “you’re in the queue” without a clerk for the identify step.
  5. When it fails — Passport, phone, or name + DOB on the kiosk; staff search on the desk. Do not invent a new patient if the NRIC already exists.

Device Agent setup (pairing, reader presence, daily silent run) is a hardware job under organisation Devices. Do not promise Scan on a MacBook with no reader.

What not to claim in a vendor demo

  • “MyKad means we skip PDPA consent” — you still handle personal data; Scan only accelerates identification.
  • “Kiosk replaces the front desk” — it check-ins; it does not collect panel letters or explain fees.
  • “The reader creates the visit” — Desk Clinic still owns patient, queue, and encounter records.

FAQ

Do I need Device Agent to use Desk Clinic?

No. Walk-in and kiosk identification work with typed NRIC, passport, phone, or name + DOB. Scan card is an optional accelerator when a supported reader is paired.

Can kiosk check in a booked patient?

Yes. Identify first; if today’s appointment matches, check-in should attach to that booking rather than silently opening a second walk-in. Staff override exists when you truly want a walk-in anyway.

Is kiosk the same as online booking?

No. Online booking creates a future appointment. Kiosk is I’m here now.
