Yearly Clinic Software in Malaysia: Named Users vs Concurrent Seats

Yearly clinic management system quotes in Malaysia often hide concurrent-seat limits. Ask whether 18 users means 18 logins or 2 people in the system at 9 a.m.—and compare Desk Clinic’s named-user MYR list.

Desk Clinic Team

Desk Clinic product team, Kuala Lumpur — clinic OS guidance for Malaysian private GP, dental, and outpatient clinics. We describe workflows that exist in the product today.

Yearly clinic management system quotes are common in Malaysia: one invoice, hardware bundled, “18 users”, on-site training. The Saturday surprise is that 18 users sometimes means 18 names on a licence list and only two concurrent seats—two people logged in at 9 a.m. while the rest wait.

This article does not name a competitor’s unpublished SKU. Packaging changes. You verify it in the quote. The job is to ask the question and to compare it with published cloud list prices.

Questions to write on the quote

  1. Named vs concurrent — Can all licensed users be logged in at once? If not, what is the concurrent cap?
  2. What is a user? — Reception, locum, owner viewing reports, and the dentist all count differently across vendors. Desk Clinic: a user is anyone with their own login; clinical role does not change the seat type.
  3. Locums and Saturday extras — Do you buy another yearly seat for a weekend locum, or an add-on that you can turn down?
  4. Branches — Is the second location another full yearly licence, a branch adder, or included up to a cap?
  5. WhatsApp, e-invoice, readers — Are they in the yearly bundle or a separate contract?
  6. Export — What do you get if you leave after month 11?

If the vendor cannot answer (1) in writing, do not sign.

Cloud subscription, not a concurrent PC licence:

PlanMonthly listYearly listUsers includedLocations
StarterRM 89RM 948 (~RM 79/month)Up to 5 named users1
GrowthRM 189RM 1,992 (~RM 166/month)Up to 20 named users3

Add-ons (published): additional user RM 19/month or RM 192/year; additional location RM 59/month or RM 588/year. Trial is 14 days on Starter and Growth checkout.

Always confirm live numbers on pricing. Homepage “from” figures use the yearly monthly-equivalent so they look like RM 79 / RM 166—those are not a cheaper monthly SKU.

WhatsApp quota is 1,000 messages/month on Growth and not included on Starter. See WhatsApp no-shows.

Why concurrent caps hurt GP Saturdays

A two-doctor clinic with two clerks, a nurse, and an owner who logs in for reports is already six people who might be in the system together. A “2 concurrent” yearly deal forces shared passwords or a queue for the login—exactly what you were leaving paper for.

Named-user cloud is not automatically cheaper. It is predictable at 9 a.m.

FAQ

Is yearly always cheaper than monthly?

On Desk Clinic, yearly Starter and Growth are discounted versus 12 × monthly. That is a cadence choice, not a different product. Other vendors’ “yearly” may include hardware, training, or concurrent caps—compare apples to apples.

Do unused named users still count?

Yes. A named-user plan counts logins you provision, not how many are online. Deactivate locums you no longer need instead of sharing one login.

Should I still consider an incumbent yearly CMS?

Yes, if hardware, TPA files, and local support already fit and the concurrent math works for your Saturday roster. Run the demo script either way.
